Terms and Conditions for WOCAN Scholarships
The following is the terms and condition that apply if you are selected and accept a grant or scholarship from Women of Color Automotive Network (WOCAN) and our generous partners:
Good Standing as a Member or Organization: The recipient must be in good standing as a member of WOCAN or be representing an organization that is affiliated with WOCAN.
Representation on WOCAN's Behalf: As a grant recipient, the individual or organization must attend and actively participate in at least two events during the conference that represents WOCAN's interests and initiatives. These events will be communicated to the recipient by WOCAN's representatives in advance.
Reimbursement Process: The recipient must keep all receipts for hotel accommodations and travel expenses incurred during the conference. After the event, these receipts should be submitted to WOCAN for reimbursement. The reimbursement process will be detailed separately to the grant recipient.
Compliance with Other Recipient Conditions: The recipient must adhere to any additional conditions specific to WOCAN scholarships or grants, as communicated by WOCAN's representatives.
Social Media Engagement: Scholarship recipients are required to actively engage on social media by posting about their scholarship experience, the conference they attended, and any events or activities related to WOCAN. These social media posts should include relevant hashtags and tags to promote WOCAN's mission and initiatives.
Thank You Letter or Virtual Call with Donor: Scholarship recipients are required to express their gratitude to the scholarship donor(s) who generously supported their attendance at the conference. This can be done either by writing a thoughtful thank-you letter or by setting up a virtual call with a representative from the WOCAN board to personally thank the donor.
Confidentiality and Media Release: By accepting the scholarship, the recipient grants WOCAN the right to use their name, likeness, and any content shared during the scholarship journey, including social media posts and interview responses, for promotional and educational purposes related to WOCAN and its initiatives.
Compliance with Timeline: The scholarship journey activities, such as posting on social media, sending thank-you letters, and participating in the follow-up interview, must be completed within the specified timeframe communicated by WOCAN.
Positive and Professional Representation of WOCAN: Throughout the scholarship journey and conference attendance, recipients are expected to represent WOCAN in a positive and respectful manner, promoting the organization's values and mission.
Scholarship Impact Statement: In addition to the follow-up interview, recipients may be requested to provide a brief written statement about how the scholarship has impacted their career journey and personal development. This statement may be shared with donors and stakeholders to highlight the positive outcomes of the scholarship program.
Cancellation and Refunds: If, for any reason, the recipient is unable to attend the conference after accepting the grant and scholarship, they must notify WOCAN as soon as possible. The grant cannot be transferred to another individual or organization without prior approval from WOCAN.
Liability: WOCAN shall not be held responsible for any injury, loss, damage, or accident that may occur during the conference or related activities. The recipient is responsible for obtaining appropriate insurance coverage for travel and other related activities.
Amendments: WOCAN reserves the right to amend or modify these terms and conditions at any time. Any changes will be communicated to the grant and scholarship recipients in writing.
By accepting a WOCAN Scholarship, the recipient acknowledges that they have read, understood, and agreed to abide by all the terms and conditions outlined in this agreement. Failure to comply with these terms may result in the cancellation of the scholarship and may impact eligibility for future WOCAN scholarships.
